Privacy policy

The MEDICA/COMPAMED Tokyo Pavilion Exhibition Support Office (hereinafter referred to as "the Office") recognizes the importance of protecting personal information obtained through its business activities, including the operation of support programs for overseas exhibitions of medical-related devices and equipment entrusted by the Tokyo Metropolitan Government (hereinafter referred to as "the Project"). The Office will handle the personal information of program participants and others (hereinafter referred to as "Personal Information") in accordance with the following policy.

Acquisition of Personal Information

The Office will properly acquire Personal Information and will not obtain Personal Information by improper means.

Compliance with Laws and Regulations

The Office will comply with the Act on the Protection of Personal Information, relevant governmental guidelines, and all other laws and regulations related to the proper handling of personal information.

Use of Personal Information

  1. The Office will use the acquired Personal Information only within the scope of the intended purposes. If the Office needs to use the information beyond the stated purposes, it will obtain the prior consent of the individual concerned.
  2. When acquiring Personal Information, the Office will clarify the intended purposes in advance. If the purposes are to be changed, the Office will obtain the consent of the individual.
  3. In carrying out the Project, the Office may entrust the handling of Personal Information to third parties. In such cases, the Office will enter into a contract regarding the handling of Personal Information with the subcontractor and properly supervise the handling of Personal Information by the subcontractor to ensure appropriate management.

Purpose of Handling Personal Information

The Office will use Personal Information for the following purposes and only to the extent necessary to achieve these purposes:

  1. To contact users or provide information related to the Project
  2. To implement and operate services, events, seminars, etc., for which users have applied
  3. To facilitate matching between users and companies or organizations with whom users wish to communicate
  4. To provide information on business and industrial programs conducted by the Tokyo Metropolitan Government
  5. For any other purposes that are clearly specified at the time of obtaining personal data from users

Provision of Personal Information to Third Parties

When providing Personal Information to third parties, the Office will obtain the prior consent of the individual, except where required by law or when providing information to the Tokyo Metropolitan Government, which is the entrusting party of the Project. The Office will not provide Personal Information to third parties without the individual's consent.

Personal Information Security Management System

  1. The Office will strive to keep Personal Information accurate and up-to-date within the scope necessary to achieve the intended purposes.
  2. The Office will take appropriate security measures, including information security, to prevent loss, alteration, or leakage of Personal Information, and will endeavor to prevent such incidents.
  3. The Office will appoint a manager responsible for the appropriate management of Personal Information and will manage it securely.
  4. The Office will regularly review its management system and efforts to protect Personal Information and strive for continuous improvement.
  5. The Office will provide training to employees and other personnel who handle Personal Information to ensure proper handling and protection of Personal Information in the Project.

Disclosure, Correction, Suspension of Use, etc.

If an individual requests disclosure, correction, suspension of use, etc., of their Personal Information in accordance with the Act on the Protection of Personal Information, the Office will respond appropriately in accordance with the law.
